Who can use the service?

Who is the PastPay service for?

PastPay is a dedicated deferred payment service for businesses in the European Union and the United Kingdom. Companies outside the area are not covered by the service. To use PastPay and obtain a credit limit, you must provide your VAT number or company ID. For companies from Germany, we also require your full company name.

We will first check whether the PastPay system allows your company to participate in the deferred payment program and determine the possible debt limit. If your company meets the requirements, you will receive a link to verify your identity. After successful verification, PastPay will activate the limit for your company, and all payments for orders at our wholesaler will be processed by PastPay.

Required documents and service activation

How to activate the service?

To activate PastPay, send us your company registration documents and EU VAT number (applies to companies registered in the European Union) to info@matterhorn-wholesale.com, with the subject line "PastPay - registration [your company name]". Also specify in the message whether you prefer to defer payment for 30 or 60 days. Based on the information sent, we will check if and what limit you can potentially obtain. If the response from the PastPay system is positive, we will send you a link to verify your identity. Upon successful completion of this procedure, all orders placed at Matterhorn will be covered by PastPay and treated as paid.

What is the procedure of ordering with deferred payment?

Step by step

Once the PastPay service is activated for your account, any order placed at Matterhorn will be processed with deferred payment. Once the order is placed, we reserve funds in the PastPay system for your business and add a commission for using this service according to the commission table. If you exceed the allocated limit, the order will not be processed until the available limit is restored. Once the funds have been reserved, we will proceed to process the order. At the time of shipment of the goods, we will issue a VAT invoice with the clause of transferring the amount due to PastPay and the information that the invoice should be paid to PastPay account by the due date.

IMPORTANT: You do not pay the order to the Matterhorn account, but to the PastPay account. The payment term is calculated from the date of the invoice, and you will be notified by email when the invoice is sent. Be sure to keep up with your payment terms, as PastPay may impose a 40 EURO fee for any late payment.

Deferred payment vs. returns of goods and unclaimed parcels

What if I return or advertise the goods?

If your orders are processed with deferred payment and there is a return of the goods (if you have the returns service activated), a complaint about the goods, or the transaction is canceled for any other reason, you are still required to pay the invoice to PastPay until the procedure is completed. The procedure for returning goods or claiming goods takes a certain amount of time - if the due date for payment to PastPay for such a transaction is approaching, you must pay it. If the return procedure is completed before the payment deadline in PastPay, we will forward the corrected invoice to PastPay as well and return the funds by which the VAT invoice was reduced directly to PastPay. Any remaining amount will be left for you to pay.

Example: You have placed an order for goods with a value of €100 and a delivery cost of €10. You will be invoiced for the amount of 110 EURO + PastPay commission fee (e.g. 2.35%) = 112.58 EURO. If we accept the goods for return, your invoice will be adjusted by 100 EURO, and you will be left to pay 12,58 EURO to PastPay.

If you have previously paid the entire invoice in PastPay, and the return procedure is completed before the due date, Matterhorn will return the funds to your balance in Matterhorn. You can use these funds for future orders or return them directly to your bank account. With this process, you have full control over your finances and can effectively manage the your company's liquidity.

Deferred payment fees

Deferred payments are an additionally paid service. A commission will be added to the sales invoice depending on the currency and the period of deferred payment.

FAQ

How long is the wait for a decision?

After you send us your company information, we usually respond within 2-3 days with the possibility or otherwise of joining the PastPay program. Sometimes we may ask for additional information.

I am from outside of Europe. Can I join the PastPay program?

Unfortunately, at the moment the PastPay system only covers companies in the European Union and the United Kingdom.

I have advertised/returned a product. Do I have to pay the invoice?

Until the return or claim is resolved, you are still bound by the payment deadline. If your PastPay invoice is nearing its due date, you must pay it. Once the complaint or return is accepted, Matterhorn will refund the funds directly to you.

What limit can you assign me?

PastPay assigns a limit depending on the company's history and condition. The limit can range from €200 to €20,000. Each order (including from other stores/wholesalers using PastPay) reduces the available limit until the invoice is paid. We will inform you of the possible limit once we receive your company documents.

In what currencies can a limit be assigned?

PastPay can pay invoices in several currencies, seen above in the fee table. Fees vary by currency, but you can choose any of them to take advantage of Matterhorn's deferred payment.

What happens if I use up the limit?

If you use up your entire limit or PastPay suspends your account (e.g. due to unpaid invoices on time), we will stop processing your orders until your limit is granted again.

What if I don’t pay the invoice on time?

PastPay may charge you a penalty of as much as 40 euros for the delay and start collecting the debt. Please plan your cash flow carefully.
